We use personal information to:
Respond to enquiries and requests for information.
Arrange and manage complimentary chemistry conversations.
Explore whether a coaching or leadership development engagement is appropriate.
Establish, administer and deliver agreed services.
Communicate with clients and relevant organisational contacts.
Maintain appropriate business, financial and administrative records.

Understand website activity and improve the visitor experience where permitted.
Meet applicable legal and regulatory obligations.
We do not sell personal information or use confidential coaching content for unrelated marketing purposes.
4. Our legal basis for processing
We process personal information where there is an appropriate legal basis under GDPR.
Depending on the circumstances, this may include:
Contractual necessity: Where processing is necessary to take steps towards entering into an agreement or to deliver agreed coaching or leadership development services.
Legitimate interests: Where processing is reasonably necessary to respond to appropriate business communications, manage our professional practice, maintain business relationships or protect our systems, provided these interests do not override your rights and freedoms.
Legal obligations: Where processing is necessary to comply with applicable legal, accounting or regulatory requirements.
Consent: Where consent is required, including for optional cookies, certain marketing communications and other activities for which consent is the appropriate legal basis.
Where information falls within a special category of personal data under GDPR, we will identify an appropriate additional legal condition before processing it.
Where processing relies on consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out beforehand.
5. Coaching notes and confidentiality
Confidentiality is central to the coaching relationship at The Clarity Project.
During coaching engagements, I may keep notes to support reflection, continuity and the coaching process. These notes are treated as confidential and stored securely, with access restricted to authorised individuals.
Coaching notes are retained only for as long as reasonably necessary to support the coaching relationship and meet any applicable legal or professional obligations. They are securely destroyed when no longer required.
Where an organisation sponsors coaching, confidentiality and any agreed information-sharing arrangements are addressed in the relevant coaching agreement.
Confidential coaching content is not routinely shared with employers, sponsors or other third parties. Any disclosure is subject to the agreed confidentiality arrangements, applicable law and relevant professional obligations.
6. Our website and third-party services
The Clarity Project uses selected technology providers to support website operation, appointment scheduling, business communications and the delivery of coaching services.
These include:
Squarespace: To host and operate our website and provide website analytics.
Acuity Scheduling (Squarespace Scheduling): To arrange and manage chemistry conversations and other appointments.
Google Workspace: To manage business email, correspondence and associated administrative information.
Zoom: Which may be used to facilitate online coaching conversations and meetings.
WhatsApp and LinkedIn: Where individuals choose to contact or engage with us through these platforms.
These providers may process personal information in connection with the services they provide. Depending on the circumstances, they may act as data processors on our behalf or as independent data controllers.
We take reasonable steps to use appropriate providers and limit the information shared to what is necessary for the relevant purpose.
7. Online coaching and session recordings
Coaching sessions may take place online using platforms such as Zoom.
Sessions are not routinely recorded. Where recording is proposed, this will be discussed in advance and will only take place with the client’s explicit, informed consent, including agreement on how the recording will be used, stored and retained.
Clients may decline recording without affecting their access to coaching services.
8. Cookies and website analytics
Our website uses cookies and similar technologies to support its operation and, where permitted, understand how visitors use it.
Some cookies are essential for the website to function properly. Other cookies, including certain analytics technologies, may require your consent.
Our website provides a cookie-consent mechanism through which visitors can accept, decline or manage optional cookies.
Where consent is required, optional cookies should not be activated before that consent has been given.
You can review or change your preferences using the website’s cookie-preferences controls.
We use Squarespace Analytics to understand website activity and improve the visitor experience. The information available through analytics may vary according to cookie preferences and platform functionality.
Third-party features, including our online booking system, may also use cookies or similar technologies.
9. How we share information
We do not sell or trade your personal information.
Information may be shared where reasonably necessary with trusted service providers supporting website hosting, appointment scheduling, communications, business administration or the delivery of agreed services.
Information may also be disclosed where required by law or where another appropriate legal basis applies.
Where coaching is sponsored by an organisation, any agreed information sharing is governed by the relevant coaching agreement. Payment for coaching does not, by itself, entitle an organisational sponsor to access confidential coaching content.
10. International data transfers
Some technology providers used by The Clarity Project may process or store personal information outside Ireland or the European Economic Area.
Where personal information is transferred internationally, applicable data protection requirements must be met, including the use of appropriate transfer mechanisms or safeguards where required.
These may include adequacy decisions or approved contractual safeguards, depending on the provider and the circumstances.
Further information about applicable transfer arrangements may be requested using the contact details in this policy.
11. How long we retain information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, taking account of applicable legal and professional obligations.
Retention depends on the nature of the information and the reason it is held.

Enquiries and booking information are retained for as long as necessary to respond, arrange appointments or manage any resulting professional relationship.
Coaching notes are retained for as long as reasonably necessary to support the coaching relationship and meet applicable legal or professional obligations.
Client agreements and administrative records are retained as necessary to manage engagements, maintain appropriate records and address legitimate legal or professional requirements.
Financial and tax records are retained in accordance with applicable Irish legal requirements.
Website and analytics information is retained according to the relevant purpose, consent settings and applicable service arrangements.
Information that is no longer required is securely deleted or destroyed unless continued retention is necessary for a lawful reason.
12. How we protect personal information
We take reasonable technical and organisational measures to protect personal information against unauthorised access, accidental loss, misuse and disclosure.
Personal information is stored securely, with access restricted according to legitimate business requirements.
While no system can guarantee absolute security, confidentiality and responsible information handling are fundamental to how we operate.
